What is a commission clawback?
A clawback reverses or reduces a previously credited affiliate commission when a qualifying sale is later refunded, disputed, found fraudulent or otherwise becomes ineligible under the program agreement. Clawbacks should be transparent, evidence-based and consistent with the published commission policy.
Events that can trigger reversals
- Refund: A full or partial refund may reverse all or part of the commission.
- Chargeback: A payment dispute can make the underlying revenue ineligible.
- Cancellation: Future recurring commissions stop when no qualifying renewal is collected; cancellation alone should not automatically erase a valid earlier paid commission unless the agreement provides for it.
- Fraud: Confirmed self-referrals or manipulated orders may be excluded under disclosed rules.
Example of a partial reversal
An affiliate earns 20% on a $100 eligible sale, creating a $20 commission. If $40 of the commissionable sale is refunded and the policy uses proportional reversals, $8 is reversed and $12 remains. The exact calculation depends on the agreed commission base and refund policy.
Build a defensible clawback process
- Store the original referral, customer, payment and commission IDs.
- Verify refund or dispute events from the billing provider.
- Check whether the adjustment is pending or finalized before changing payable balances.
- Record a negative ledger adjustment instead of deleting history.
- Notify the affiliate with the reason, amount and transaction reference.
- Offer a documented dispute and correction workflow.
Paddle Billing considerations
Paddle adjustments may represent refunds, credits or chargebacks. Some refund requests can remain pending approval before their final outcome. Process adjustment state changes and avoid reversing the same commission twice when duplicate webhook notifications arrive.
Prevent unnecessary disputes
Publish clear terms covering payout delays, refunds, partial refunds, trial conversions, cancellations, fraudulent transactions and the effect of a negative balance. Keep a ledger that reconciles with the billing system.
